The Medical Affairs Coordinator will be responsible for coordinating new and ongoing activities in Medical Affairs, as well as administrative support and coordination for the department. Activities include coordination of programs; Medical Affai! rs team support; Publications support; RTE support.
DUTIES AND RESPONSIBILITIES :
Coordinate all aspects of meeting planning for investigator/study, advisory board and web-based meetings including: site selections, travel arrangements, preparation of presentations, distribution of materials, and cost tracking.
Coordinate and support Medical Affairs activities including budget discussions with vendors (e.g. Contract Resource Organizations â" âCROâsâ); researching issues; review and identification of issues in study related contracts; and supporting the prioritization of department activities in accordance with department milestones.
Track and monitor outside services; monitor budgets; review invoices, contracts, protocols; and coordinate agreements and identify issues of concern.
Establish and maintain departmental files including clinical study-specific records and documents. Ensure all study related documentation is available to project team including electronic access.
F! acilitate the on boarding process of new hires in Medical Affairs group cross-functionally with other departments.
Coordinate logistics for Medical Affairs internal and external meetings and conferences including catering.
Supply administrative support Medial Affairs including maintaining calendars and appointments, making travel arrangements and scheduling as needed.
Construct PowerPoint presentations as needed.
Monitors invoices and budget activity.
Minimal Travel (5%) is a possibility.
MINIMUM JOB REQUIREMENTS:
Bachelorâs degree is preferred, but not required with applicable experience.
Minimum of 8 years administrative experience including pharmaceutical industry experience supporting clinical operations activities and familiarity with the clinical development process and the use of CROâs.
Demonstrated high level proficiency with Microsoft Office Suite of products (Office, Word, Excel! , Power Point, Adobe), and strong typing skills.
Ability to ef! fectively organize and prioritize tasks to achieve established deadlines.
Proactive style and able to anticipate needs, with a high level of attention to detail.
Experience and success managing multiple tasks and deadlines at once while supporting the constantly changing needs of a sales team and sales management.
Excellent time management and organization skills.
Project management or Training experience preferred.
Strong verbal, written, and interpersonal skills.
